Sportsmanship and Citizenship Advisory Committee Minutes

Held September 28, 2010

The meeting was called to order at 10:05 a.m. with the following members present: Lin, Shelby, Holm, Boschert, Waters, Cooper, and Mahon representing the Student Advisory Committee.  Staff members present were West and Calfee.

Motion Shelby, Second Lin to approve minutes from the 2009 Sportsmanship/Citizenship Advisory Committee Meeting.  Motion passed 6-0.

The 2010 Junior High Sportsmanship Essay contest was the next item on the agenda.  West introduced the possibility of MSHSAA sponsor Farmers Insurance involvement with the Essay Contest.  Mr. West indicated that the MSHSAA’s CFO Craig Long is working with Farmers representatives on securing a saving’s bond prize but not sure if that will come to pass for the 2010-11 Essay Contest.

Next the committee looked at the deadlines for the district winners.  Previously the district coordinators established their own deadlines for district winner submissions.  However, this year the committee would like to try a deadline established by the MSHSAA.  The committee feels with this firm deadline will help with confusion on the local level.  The committee agreed on November 22, 2010 as the deadline for schools to have their local winners submitted to their district coordinators.  Also, the committee established the deadline of December 20, 2010 to have their District Winners to the MSHSAA for state judging.

Lin brought up the issue of how to handle any late submissions.  The committee came to the consensus in order to keep participation at a premium submissions are accepted until District judging has begun or taken place.  Holm and Waters wanted to confirm the materials that will be sent to participating schools, information needed from local winners, and finally the information MSHSAA needed from them once the district winners were selected.  Calfee indicated the schools would receive the following materials: supply of entry forms, supply of judging forms, posters, and administrator’s information.  Calfee went on to discuss the district coordinators should receive a copy of local winner’s essay, along with the entry forms from all of the entries.  The district coordinators should then pass on the following items to the MSHSAA for State judging: district winner essay, entry forms from all of the entries, and finally the rank order of the entries.

Lin went on to request from the MSHSAA that district coordinators still receive email contacts to principal and athletic directors to distribute reminder emails and additional promotion.  Lin and Waters also requested that Calfee send another judging form and the administrator’s checklist.

West moved on to the MSHSAA Sportsmanship Summit business.  First the committee discussed the 2010 Summit Summary. Mahon and Shelby noted the attendance was good for the Summit.  Also, the speakers all received good ratings with Mills, Hooton and the Speaking Specialists receiving high and positive responses from the delegates

West wanted the committee to look at the summit date for this previous year and upcoming years as the date relates to the membership dead periods.  Shelby notes that his school did not attend this year’s summit due to other conflicts not related to the schools dead period.  Cooper added that during the dead period parents often plan family vacations.  West moved on to the broader topic date suggestions for the summit.  Holm suggested moving the summit to May or sometime in the spring.  West noted that the MSHSAA administers multiple championships in May, as well as Dr. Urhahn is hesitant to have student’s miss valuable school time in the spring.  Holm then brought the idea of having multiple summits throughout the year maybe one in fall and one summer.  Shelby stated he liked the current timeframe in August as this prepares the students for the school year and practices have just begun for the fall.  The committee came to a consensus to stick with the second Saturday of August to avoid any dead period issues plus it is a good time to refocus students on sportsmanship issues.

Shelby and Mahon agreed that the rotation of Summit locations is going well.  Mahon stated that the idea of moving the Summit to areas of state would give schools an opportunity to attend the summit.  As seen plotted on the Missouri map that is truly what is happening.  For the most part St. Louis and surrounding communities were the bulk of attendees at the 2010 Summit.  The committee came to a consensus that the current location rotation benefited the Summit, and would like to continue the rotation of Springfield, Kansas City, St. Louis, and Columbia.

West moved on to the current format of the Summit.  West questioned the committee on changing the format to something similar to NFHS Student Leadership Conference held in Indianapolis.  Mahon questioned West on his vision for the MSHSAA Summit, and how to implement this vision.  West discussed placing the larger group into eight smaller groups with the delegates intermingling within the groups.  The overall vision of this plan is for students and adults to share ideas on the following general topics: 1. Positive Values, 2. Sportsmanship and Respect, 3. Healthy Lifestyles or teamwork.

Shelby also noted that asking University of Missouri and Missouri State University students to serve as facilitators would aide in the interaction process.  Students enjoy and focus more positively when those mentors are involved in the process.

Finally, the committee came to a consensus on a rough time schedule of the 2011 Summit.  The following schedule was decided upon:

8:30 – 9:30 Keynote Address

9:40 – 10:40 Breakout One

10:50 – 11:50 Breakout Two

12:00 – 1:00 Breakout Three

1:15              Lunch

1:45             Sponsor Presentations and Thank you’s

2                   Keynote Address (same a morning keynote)

The committee moved on to the keynote addresses.  West mentioned the idea of having the Keynote speaker address the delegation in both the morning and afternoon.  In the morning the speaker will get the crow pumped up about the day’s activities, and in the afternoon wrap up the day’s activities.  West mentioned the following possible speakers: Harvey Alston, Joe Edelmann and Mark Scharenbroich.  The committee came to a consensus that Harvey Alston would be a great choice for the 2011 Summit with the new format.

Next the committee moved on to the 5-Star leadership program.  West reviewed the 5 points in becoming a 5-Star leadership school.  Holm indicated that the kits arrived to the schools this week.

Next the committee moved on to the Student Advisory Committee.  West indicated to the committee that the SAC has secured a presentation spot at the MIAAA conference in April.  West inquired to the committee if there were any particular topics that the students should touch on in their presentation to students or adults:

Students: 1. Texting while driving, 2. Student leadership possibilities – Choices, 3. You can be a leader, 3. Respect  - coaches, parents, officials, teachers, 4. Promote traditions – mentoring.

Shelby introduced the idea of the SAC presenting at parent meetings at membership schools as well.
